Hubbard’s Maid Service Company, Inc. (“Hubbard’s Maid Service,” “we,” “our,” “us”) provides residential and commercial cleaning services in coastal Georgia and South Carolina. Your privacy matters to us, and we are committed to protecting your personal information.

This Privacy Policy explains what information we collect, how we use it, who we share it with, how we protect it, and the choices and rights you have. It applies to our website at hubbardsmaidservice.com, our online forms and customer portal, our online store, our text message and email programs, and the cleaning services we provide.


1. Information We Collect

Information you give us directly

  • Contact and identity information: name, service address, billing address, phone number(s), and email address.
  • Property and service information: square footage, number of bedrooms and bathrooms, home type, number of levels, pets, occupancy status, cleaning type requested, target dates, entry and parking instructions, and areas needing extra attention.
  • Service notes: preferences, allergies or sensitivities, items that should not be touched, and any other details you choose to share about your home or business.
  • Account information: if you create an account in our online store, your username, password (stored in encrypted form), and order history.
  • Payment information: card or bank details you submit at checkout or for recurring service, processed as described in Section 3.
  • Communications: the content of your emails, text messages, web form submissions, voicemails, and phone calls with us. Calls may be recorded or monitored for quality and training purposes where permitted by law, and you will be notified when this occurs.
  • Incident reports and feedback: details you submit through our incident report, appointment change, referral, tip, and review forms.
  • Employment applications: if you apply for a position, the information on your application. Applicant data is used only for hiring and is not used for marketing.

Information collected automatically when you visit our website

  • Device and browser information: IP address, browser type and version, operating system, device type, screen size, and language settings.
  • Usage information: pages viewed, links clicked, time on page, the site or search engine that referred you, and the date and time of your visit.
  • Cookie and tracking identifiers: anonymous identifiers set by cookies and similar technologies, described in Section 4.

Information from third parties

  • Payment confirmations: Stripe reports transaction results to us (approved, declined, refunded) without giving us your full card number.
  • Referrals: if an existing customer refers you, we receive the contact details they provide.

We do not knowingly collect personal information from anyone under 18. See Section 11.


2. How We Use Your Information

We use your information only for the following purposes:

  • Preparing and delivering quotes and estimates.
  • Scheduling, coordinating, and providing cleaning services.
  • Processing payments, tips, and refunds, and issuing invoices and receipts.
  • Communicating with you about appointments, arrival windows, schedule changes, service follow-ups, and account or billing matters.
  • Responding to your questions, quote requests, incident reports, and support requests.
  • Operating our online store and customer accounts.
  • Administering our referral program.
  • Internal recordkeeping, scheduling, staffing, training, and quality assurance.
  • Understanding how our website is used so we can improve it (see Section 4).
  • Sending promotional offers and service announcements — only if you have separately opted in (see Sections 5 and 6).
  • Evaluating employment applications.
  • Meeting our legal, tax, insurance, and regulatory obligations, and protecting our legal rights.

We do not use your information for automated decision-making that has a legal or similarly significant effect on you, and we do not build advertising profiles about you.


3. Payment Information

  • Card payments are processed by Stripe, a PCI-DSS Level 1 certified payment processor, over an encrypted connection.
  • We do not store full card numbers, CVV codes, or complete bank account credentials on our servers or our website.
  • Where a payment method is saved for recurring service, it is stored in tokenized form by Stripe. We hold only a token and the last four digits.
  • Payment data is used solely to process transactions you have authorized.
  • Stripe processes payment data as an independent controller under its own privacy policy, available at https://stripe.com/privacy.

4. Cookies, Analytics, and Tracking Technologies

Our website uses cookies and similar technologies (tags, pixels, local storage, and server logs). A cookie is a small text file placed on your device that allows a website to recognize your browser across pages and visits.

Because we run Google Ads remarketing, some of the cookies above are advertising cookies. They allow our ads to be shown to you on other websites and in Google’s network after you visit us. They do not tell advertisers your name, address, or phone number.

What we do not do

  • We do not sell your personal information, and we do not sell cookie or tracking data.
  • We do not share your information with data brokers.
  • We do not combine website tracking data with text message opt-in data for any sharing or advertising purpose. See Section 6.

Your choices

Do Not Track. Some browsers send a “Do Not Track” signal. There is no industry standard for how sites must respond, so our website does not respond differently to DNT signals. The controls above remain available regardless.

5. Email Communications

  • Transactional email (quotes, appointment confirmations, invoices, receipts, service updates, order confirmations) is sent as part of providing your service.
  • Marketing email (promotions, seasonal offers, newsletters) is sent only if you have opted in.
  • Every marketing email includes an unsubscribe link. You may also email office@hubbardsmaidservice.com and ask to be removed. We honor opt-out requests promptly, generally within 10 business days.
  • Unsubscribing from marketing email does not stop transactional messages about services you have scheduled.

6. Text Messaging (SMS) Communications

How you opt in. We send text messages only to people who have opted in. You may opt in by checking an SMS consent checkbox on a form at hubbardsmaidservice.com (no box is ever pre-checked, and none is required to submit the form), by texting us first at (912) 999-4306, or by giving verbal consent to a team member.

Consent is a separate, optional action. You can submit any form on our website without agreeing to text messages and still receive your quote and full cleaning service, at the same price and quality. Consent to receive text messages is never a condition of purchasing or receiving any service, and it is never bundled into a service agreement or any other required term.

What we send. Depending on the consent you give:

  • Transactional messages: quote responses, appointment confirmations and reminders, arrival windows, crew-on-the-way notices, schedule changes, service follow-ups, invoices, and payment reminders.
  • Marketing messages: promotional offers, discounts, and service announcements — only if you separately opt in.

Transactional and marketing consent are collected and stored separately. Agreeing to appointment messages does not enroll you in promotional messages.

Frequency. Message frequency varies depending on your interactions with us and the services you have scheduled.

Cost. Message and data rates may apply, based on your mobile plan. Hubbard’s Maid Service does not charge you for text messages.

How to stop. Reply STOP to any message at any time. We will send one final confirmation and you will receive no further texts unless you opt back in. Reply HELP for assistance, or contact us at (912) 999-4306 or office@hubbardsmaidservice.com.

Carriers. Carriers are not liable for delayed or undelivered messages. Supported carriers include major U.S. wireless carriers; not all carriers may be supported.

SMS Opt-In Data — No Sharing

We do not share, sell, rent, or otherwise disclose text messaging originator opt-in data or consent to any third party or affiliate for marketing or promotional purposes.

No mobile information will be sold, rented, or shared with third parties or affiliates for marketing or promotional purposes. All other use case categories described in this Privacy Policy exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

The only parties that handle your mobile number and consent record are subcontractors and service providers that help us operate the program — our CRM and SMS platform provider and our customer service tools — and only to deliver the messages you requested on our behalf. They are contractually prohibited from using it for their own marketing or disclosing it further.


7. No Selling or Sharing of Personal Information

  • We do not sell or rent your personal information. We have not sold personal information in the preceding 12 months and do not intend to.
  • We do not share your personal information with third parties for their own marketing purposes.
  • We share information only with service providers who need it to operate our business, and only for that purpose:
    • Stripe — payment processing
    • HighLevel (GoHighLevel) — CRM, forms, scheduling, email and SMS delivery
    • Google — website analytics and advertising measurement, as described in Section 4
    • Website hosting and security
    • Accounting, bookkeeping, tax, insurance, and legal advisors
  • Each provider is bound by contract to protect your information, use it only for services provided to us, and not sell it.
  • We may disclose information when required by law — subpoena, court order, or lawful government request — or where necessary to protect the rights, property, or safety of Hubbard’s Maid Service, our customers, our employees, or the public.
  • If our business is sold, merged, or reorganized, customer information may transfer as part of that transaction; the recipient would remain bound by this policy or we would notify you and offer a choice.
  • The exclusion in Section 6 applies to every item in this section: text messaging opt-in data and consent are never included.

8. Photos and Marketing

  • We may take before-and-after photos of cleaning work for documentation, training, and quality assurance.
  • We do not photograph personal or private information such as family photos, documents, mail, screens, or valuables.
  • If a photo inadvertently captures identifying information, we delete or edit the image before any use.
  • Photos may appear in our before-and-after gallery, on our website, or on social media, but will never include identifiable customer details, addresses, or recognizable personal belongings without your consent.
  • You may ask us at any time not to photograph your property, or to remove an existing photo, by emailing office@hubbardsmaidservice.com.

9. Employee Conduct and Confidentiality

  • Our cleaners are screened before entering a customer’s property.
  • Employees are prohibited from using or disclosing customer information for personal purposes.
  • Employees must not share, photograph, or discuss anything they see or hear in a customer’s home or business outside of approved job documentation.
  • Any breach of this policy is grounds for disciplinary action up to and including termination.

10. Data Security and Retention

Security. We implement reasonable technical, administrative, and physical safeguards to protect your information against unauthorized access, disclosure, alteration, or misuse, including:

  • Encryption of data in transit to and from our website and systems (HTTPS/TLS).
  • Card data handled entirely by Stripe, so sensitive payment details never reside on our systems.
  • Access controls limiting customer information to employees and contractors who need it.
  • Password protection and, where available, multi-factor authentication on business accounts.
  • Reputable third-party platforms for payments, CRM, hosting, and store operations.
  • Confidentiality obligations for all employees and subcontractors.

No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If we become aware of a breach affecting your personal information, we will notify you and any required authorities as the law requires.

Retention. We keep personal information only as long as needed for the purposes in this policy — generally the duration of your service relationship plus the period required for tax, accounting, insurance, warranty, and legal purposes. Job photos are retained for quality assurance and then deleted or archived. Text message consent records are retained while you remain opted in, and after opt-out for the period needed to demonstrate compliance with messaging regulations. Employment application data is retained per applicable recordkeeping requirements. When information is no longer needed, we delete or de-identify it.


11. Children’s Privacy

Our services, website, and store are intended for adults. We do not knowingly collect personal information from children under 18, and we do not knowingly send text messages to a number we know belongs to a minor. If you believe a child has provided us with personal information, contact office@hubbardsmaidservice.com and we will delete it.


12. Your Rights and Choices

You may, at any time:

  • Access — request a copy of the personal information we hold about you.
  • Correct — request corrections or updates, including your phone number, address, or service preferences.
  • Delete — request deletion, subject to legal, tax, accounting, insurance, and contractual obligations requiring us to retain certain records.
  • Stop text messages — reply STOP to any text, or contact us directly.
  • Stop marketing email — use the unsubscribe link in any marketing email, or contact us.
  • Opt out of analytics and advertising cookies — use the controls in Section 4.
  • Withdraw photo consent — ask us not to photograph your property or to remove existing photos.
  • Be free from retaliation — we will not deny you service, charge a different price, or provide lower quality service because you exercised any of these rights.

How to make a request. Email office@hubbardsmaidservice.com, call (912) 961-9131 (GA) or (843) 781-8945 (SC), or use the form at hubbardsmaidservice.com/contact-us/. We will respond within 45 days. We may need to verify your identity before acting on a request, typically by confirming details already in your account.

Depending on where you live, you may have additional rights under state privacy law. We honor these requests for all customers regardless of location.


13. Third-Party Links

Our website may link to third-party sites and services, including payment, review, scheduling, and social media platforms. We are not responsible for their privacy practices or content. Please review their policies before providing information to them.


14. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with a revised “Last Updated” date. If we make material changes to how we use or share your information, we will provide additional notice, such as by email or a notice on our website. Your continued use of our website or services after a change takes effect means you accept the updated policy.
